Hello, TNG! This is a thread to coordinate "TNG Con" (thanks for the name, Kate!) as bandied about and now becoming a reality. There have been more than a few awesome community get-togethers over the years, such as the first TNG get-together, the traditional Grim camping trip, the annual TECon, and my epic birthday party awhile back (bonus: Keraph in pigtails), not to mention smaller groups meeting up all the time, and I can tell you it's always fantastic to meet in person all these people we spend so much time with and share so much with. For this gathering, we're meeting up in Las Vegas!

We have a local expert, Nikaa, who is able to give us expertise on where to go, or not go more often than not. She's also a good authority on when to go to avoid crowds and the heat (so much as they can be avoided). We also have several people who'd be able to make the trip by car, giving us transportation if needed (such as to pick up folks from the airport). We also still have a lot of time to plan and make it work for as many people as possible.

The date is May 5th through 7th, 2017. This weekend was chosen as it's before summer, doesn't have a convention of more than 1,000 people going on, and the gathering/party room we wanted is available (see more below). 
 

COSTS

Here is a breakdown of costs you can expect for the trip:

  • travel: avg 20mi/gallon, $2.5/gallon, so $0.125/mi; don't forget the return trip -or- $300-500/person airfare roundtrip
  • transportation: There should be enough folks with cars coming to ferry folks around, and most things will be within walking distance, but if you might need a ride, it's about $15 to or from the airport, and $8 and up to go up or down the strip. there are ferry buses from the airport for most hotels and a tram and a monorail that go up and down the strip at the cost of $5-6.
  • room: $80-150/person/night, depending on how crammed you want to be -- less if you want to "guild hall" it as Keraph suggested and go over the room limit, at your own risk! (Air beds are a thing)
  • food: $40/person/day and up, but varies extremely according to how much you brown-bag it
  • recreation: gambling money, show tickets (David Copperfield, Blue Man Group, comedy shows, Chippendales, Cirque... whatever floats your boat) $50-120/person, booze, souvenirs, $30-40/person for a nice dinner
  • emergency money: I suggest having an extra $50-100 in hand just in case.
    • Total: $500-$1500/person

The $500/person total is if you live only a state or two away and don't spend a dime you don't have to, so don't expect to be able to beat or even meet that unless you're Nikaa. Realistically, expect to spend $700-900/person all told.
 

HOTEL

The Party Suite

The communal room is the 6-person Hospitality Suite in the Mirage. There are two queen beds in one bedroom, one king in the other bedroom, and 2.5 bathrooms in total. Here is a video walkthrough of the suite (thanks Nikaa). There is also a large sectional couch, a table, and a bar to sit at, as well as a sink and a small refrigerator (which sounds like it comes stocked with stuff you get charged if you move, but I might see if we can have that stuff removed so we have fridge space; also, Nikaa might bring coolers). It's over 1700 square feet in total, so more than enough room for folks to hang out.

I've gone ahead and booked the suite for May 5-7 but we can change it if need be. The total for two nights is $1,924.16. The deposit was $799.68, but it's fully refundable up to three days before check-in, so we have time to solidify our plans before I start asking people to fork up.

With 6 people it will be $320.70/person for both nights. With 8 (one airbed or taking the couch), it will be $240.52. With 10 (one airbed and the couch taken), $192.42. With 12 (two airbeds and the couch taken), $160.35. We're aiming for 9-10 people at least to keep costs down. Let me know if you want on the list.

Other Arrangements

People who don't want to stay in the party suite, or who can't commit at this point, are completely welcome to book their own rooms at their own leisure. Additional regular rooms in the Mirage run $650-800 for both nights after taxes and fees (depending on if you say 2 or 4 people -- there are additional charges for more people in a room) and you can also find another hotel somewhere if you want to try to find someplace cheaper, though then you'll need to figure out transportation to come hang out. Note that many hotels on the strip require guests to be 21 to check in (literally check in; not just to be a guest in the suite) and those below age 21 won't be allowed to even enter casinos or other adult areas.


ACTIVITIES

The party suite is going to be the central gathering & hanging out point for everyone on the trip, regardless of where they're staying. There is lots of living space there to just hang out, drink, play games, and enjoy one another's company! Other than that, folks are free to make their own plans for excursions and activities. Being that it's Vegas, some people will want to do some things, and some, others. Nikaa is going to find us a bunch of things we can do and folks are encouraged to make their own plans as well.

Here are the group activities being set up so far:

  • Sushi lunch at Japonais (in-hotel restaurant) on Friday (probably 1pm)
    • It's a little pricey but should be very very delicious! For those getting there early enough who want to splurge a bit.
  • Group dinner on Friday night (probably 7pm)
    • Depending on how many folks we have, we can find someplace that'll take a large group that is in everyone's price range.
  • 53X -- Co-ed revue show on Saturday night (8:30pm)
    • I'm not going to Vegas and not seeing a revue! ;) This one looks really fun. I'd like to get a table ($60/ticket, 4 seats per table) but if enough folks want to go who want to spend less, a second group could get general admission seats together ($40).
  • Wine tasting Saturday morning/afternoon (before revue)

Folks are welcome to arrange other activities here in this thread and invite others along. I'll update this section as activities get planned, and in more detail as things get firmed up.

RULES

A few ground rules you can expect off the bat:

  • No in-room charges (rooms will likely be booked on someone else's credit card!)
  • No breaking hotel rules (except sardining)
  • No recreational drug use or possession except in agreed-upon areas (and no smoking in non-smoking hotels)
  • No underage drinking or gambling (sorry Konro)


MORE PLANNING

We have many people definitely down for this, so the question now is how many more people can we reel in! If you can get a group together, you can make a roadtrip out of it and/or share a room to save costs. Please use this thread to post any questions, pose any ideas, and organize your trips. 

People are welcome to bring non-TNG friends so long as said friends don't mind hanging out with a bunch of roleplayers and the conversation that will ensue! 

We will nail down more details about arrangements as time progresses. Feel free to chip in with your thoughts and proposals.

Las Vegas is actually really cheap for airfare and hotels compared to most places, that's why a lot of businesses have meetings there. Anyways, hope I can go and see ya'll there.

I am on the very definitely down list, as has been discussed. Whenever this is and wherever we land for a hotel, Keraph will be there in force ready to MODERATE ANY UNTOWARD BEHAVIOR.

No JK go crazy, that's what Vegas is about.

You can also save some money on transportation and food, if necessary. Most of the casinos have food courts so burgers are an option if you don't want to spring on a sit down dinner for every meal. Last I saw, Luxor had a McDonalds which included a $1 menu. 

Taxis are not really necessary on the strip! Many of the casinos are linked together or have trams. The bus runs up and down the strip pretty much 24/7 and fair is only $2 or so, I think. There is probably a daily or weekly bus pass, also.

Another great option is the Monorail- more expensive than the bus, but much faster to get around than taking a cab since you bypass traffic.

Oh also forgot to mention- some of the hotels have a free shuttle from the airport to the hotel for guests. Or maybe a couple bucks. Either way- it's only about 10 minutes from the airport to south end of the strip, with traffic.

Well, my birthday is April 19th, so th at 4/16-18 bracket speaks to me.

I'll keep an eye on this.  I have a big expense in the fall, so I'll need to sign up at "Tentative".

For my paltry suggestion:  Earplugs.  Also bring sunglasses to properly gaze upon Keraph's glorious incandescence.

My mother decided it would be a good idea to take my twin and I to Las Vegas.... for our 18th birthday. You must be 21 to gamble. What this meant for us is that we were forcibly escorted off the gambling floor and unable to watch the really awesome trapeze show occuring above it IN our own hotel. :(  Just letting you know- 18 might be adult but you can't even stand near the gambling, so... I guess just be aware of that in case you are that young or bring young family.

We're currently eyeing this lovely 3-bed suite with a large living area, which is fantastically at the Mirage in the center of the strip. We could easily fit 10 people in there, at least. It comes to $1900 after taxes & fees for two nights, which would be $95/night if we got ten people. Additional regular rooms come to $800 after taxes & fees for two nights, which with the standard capacity of four people would be $100/night, and less with more people (one extra person would bring it down to $80). My earlier budgeting didn't account for taxes or fees on the rooms, so $80/night is probably more like the lower end than $40. I'll update the main post.

Note: this is with informing the hotel that the max number of people legally allowed to be in the room (6 for the big suite, 4 for the regular rooms) will be there. If you tell them there are only two, it's cheaper... but they might be more likely to take exception to the rooms being overstuffed if you do.

Yeah, I can go.  But I'd prefer the latest date range if possible, like 4/28-4/30 - since I'll be leaving a baby home alone with family for the weekend.

After realizing that April 16th is Easter (thanks Mortica), that weekend is out of the running. Then, it turns out that the two-bedroom suite is pretty well booked up for most of those weekends -- the only other open dates that aren't during conventions of 1k plus people in the city are Apr 21-23 and May 5-7. We have two votes against the Apr 21-23 weekend already so we're looking at the first weekend in May as our possible date. Speak now if that's a problem!

Besides firming up the date, however, only some arrangements need to be made this far ahead of time. Namely, the people who want in on the party suite, a.k.a. where all the fun is gon be at. People who don't want to stay in the party suite, or who can't commit at this point, are completely welcome to book their own rooms at their own leisure. I am good with either date! 

I will get in on the suite if there are enough spaces, but am prepared to give up my spot to someone else if it fills up, in which case I'll get a regular room. :)

Having a second room would probably be a good idea if some people wanted to swing that.  Especially for people that need the quiet to wind down for a few minutes, or sleep off hangovers when everyone else is up, whatever.

The Mirage's 2 queen bed 4-guest room I looked at with taxes and fees would come out to $837.76 for the two nights.  Split four ways it's $209.44. Same price as a room with the Volcano view (wat) and the room with the pool view, both listed at 4 capacity.  The cheaper room is $792.96, and $198.24 split between four people.  The deal with this room is the bed type is assigned at check-in.

If the number stayed smallish, I wouldn't mind sleeping curled up in the corner of the suite somewhere (because I'm 7) or in a pile with a bunch of other bodies (because I'm 17).  But I won't be able to confirm going for at least a month.  And with attempted babymakings I could confirm or cancel at any time. D:

Grainger and I are going!   We'll take care of booking our own room.

He's browsing packages on Expedia right now for pricing, and there are some good deals for airfare and hotel, if anyone wants to check it out for good deals.
